Job Description
We are seeking to fill an Administrative Assistant position to join our team and support the organization, while providing direct assistance to the Office Managers to help ensure projects run smoothly from start to finish. Prior experience in the commercial construction industry is a major consideration in filling this position.
Job Responsibilities:
· Handle incoming calls, direct them appropriately, and provide information to callers.
· Enter and update information into project management software and spreadsheets related to the pre-qualification process for projects.
· Preparation and coordination of required contract documentation.
· Collect and verify insurance documentation, track policy expirations, and communicate with insurance provider and general contractors.
· Assist Payroll Manager with payroll and certified payroll documentation.
· Assist Accounts Receivable Manager with billing documentation.
· Assist Safety Director with employee certification tracking.
· Assist with managing and maintaining detailed and organized files, both electronic and hard copies.
· Complete tasks assigned in an efficient and timely manner.
· Conduct additional administrative duties, as required.
Qualifications
· 2+ years of experience as an administrative assistant.
· Detail-oriented and highly organized.
· Excellent multitasking skills.
· Strong written and oral communication skills.
· Ability to work under pressure with minimal supervision.
· Ability to meet deadlines and adapt to changing requirements with a positive attitude.
· Proficiency with the use of Excel, Word, Adobe, etc.
· Conversant with project management tools like Procore, Building Connected, etc. is a plus.
