Position Title: Executive Assistant to the C-Suite

Position Summary
The Executive Assistant to the C-Suite provides high-level administrative and operational support to the Chief Executive Officer (CEO) and senior leadership team. This position plays a vital role in ensuring organizational efficiency, managing executive priorities, and facilitating effective communication across departments, partners, and stakeholders.
Operating in a hybrid environment, the Executive Assistant supports both in-person and virtual operations, maintaining seamless coordination between internal teams and external partners. The ideal candidate is proactive, highly organized, and capable of managing complex tasks with discretion, professionalism, and precision.
This is a 6-month contract position with the potential for extension or transition to a longer-term role based on performance and organizational needs.
Ideal Candidate
5+ years of experience supporting senior executives or C-suite leaders in a fast-paced environment.
Exceptional organizational and project management skills, with the ability to anticipate needs and manage competing priorities.
Professional, composed, and capable of handling confidential information with discretion.
Excellent written and verbal communication skills; able to draft, edit, and present materials clearly and effectively.
Proficient in Microsoft 365 (Outlook, Teams, SharePoint, Excel, PowerPoint).
Thrives in a hybrid work environment, balancing in-office presence with remote efficiency.

Key Responsibilities
Executive & Administrative Support
Manage the CEO’s calendar, appointments, meetings, and travel logistics.
Coordinate executive team schedules, meeting agendas, and follow-up actions.
Prepare and edit correspondence, reports, presentations, and other documents.
Track priorities and ensure timely follow-through on executive tasks and commitments.
Maintain organized electronic and physical filing systems within Microsoft Teams and SharePoint.
Board & Governance Support
Coordinate logistics for board and committee meetings, including scheduling, agenda development, materials distribution, and minute-taking.
Support board communication, track follow-up actions, and maintain governance records.
Assist with preparation of reports and materials for board and leadership review.
Operational & Project Coordination
Support execution of strategic initiatives and special projects led by the CEO or C-Suite team.
Monitor project timelines, deliverables, and reporting deadlines across departments.
Collaborate with operations and finance teams to assist with vendor coordination, invoices, and expense tracking.
Conduct light research and compile summaries or briefing materials as requested.
Communications & Stakeholder Engagement
Serve as a professional liaison between the executive office, internal staff, and external partners.
Manage logistics and communication for internal meetings, events, and public engagements.
Assist in planning and execution of in-person and virtual events, tours, and presentations.
Represent the executive office with professionalism, tact, and confidentiality at all times.
